Keep stock records easier to trust

Useful stock information starts with consistent product details and a clear explanation of changes in quantity.

Name products consistently.

Decide how you distinguish sizes, variants, packaging and similar items. A name that makes sense to one person may be confusing to another. Check for duplicates before adding a product that might already exist.

Keep units understandable.

Be clear about whether a quantity means one item, a pack or another unit. Use the units supported by your released app and business process consistently. If you change how an item is handled, review the records affected by that change.

Record movements close to the event.

Delayed recording makes it harder to remember why stock changed. Keep enough context to distinguish a sale, return, correction or other supported movement. Do not use an unexplained adjustment to hide a problem you have not investigated.

Compare records with physical stock.

Choose a manageable group of products and compare recorded quantities with what you can count. Investigate differences using the available transaction history and supporting information. A count is useful because it tests the records against something outside the screen.

Explain corrections.

When a correction is necessary, make its reason understandable to the next person who reviews the information. Keep your business's required evidence and follow its authorization process.

Review the process as well as the number.

Repeated differences may point to confusing product names, inconsistent units or a step that is easy to miss. Improving that step can be more useful than repeatedly correcting the same quantity.
